Roundcube identities allow you to send emails from different names, email addresses, or signatures — all from the same mailbox. This is useful if you manage multiple roles or aliases (e.g., [email protected] and [email protected]).

Step 1 — Log in to Webmail

  • Navigate to your webmail login page (typically https://yourdomain.com/webmail or https://yourdomain.com:2096).
  • Enter your email address and password, then select Roundcube.

Step 2 — Open Settings

  • Click the Settings icon (gear ⚙️) in the top-right corner of the Roundcube toolbar.

Step 3 — Go to Identities

  • In the left-hand settings menu, click on Identities.
  • You will see your default identity (your main email address) listed.

Step 4 — Create a New Identity

  • Click the + (plus) button or Create button below the identity list.
  • Fill in the following fields:
  • Display Name — The name recipients will see (e.g., Sales Department).
  • E-mail — The email address for this identity. You can enter any alias or address configured on your account.
  • Organization (optional) — Your company or organisation name.
  • Reply-To (optional) — A different address to receive replies.
  • Bcc (optional) — Automatically BCC a specified address on every sent email.
  • Signature — Add an HTML or plain-text signature for this identity.

Step 5 — Save

  • Click Save to create the identity.
  • The new identity will now appear in your identities list.

Step 6 — Use Your Identity

  • When composing a new email, click the From or Identity dropdown in the compose window to select which identity to send from.

Important Notes

  • Alias requirement: The email address you set in an identity must be a valid alias or account on your domain. Otherwise, the recipient's mail server may reject the email (SPF/DKIM mismatch).
  • Default identity: You can set any identity as the default by selecting it and clicking the Set as default option (star icon).
  • Editing: Click on an existing identity to modify its details at any time.

Troubleshooting

  • "Identity not accepted" error: Your mail server may restrict which addresses you can send from. Contact your hosting provider to verify the alias is configured.
  • Signature not appearing: Ensure the HTML signature checkbox is enabled if your signature contains formatting, links, or images.
  • Identity dropdown missing in compose: You must have more than one identity created for the dropdown to appear.
